DescriptionPart time Reception & Administration Assistant - Permanent part-time position (25 hours per week)
12 months Fixed Term Contract (Maternity Cover)
Salary £19,000 pro rata plus superb bonus and benefits package
Market leading construction materials manufacturers and distributors are seeking a confident, enthusiastic Part Time Reception & Administration Assistant to join the Reception team.
The Reception & Administration Assistant is the first contact visitors have, so that image needs to always be friendly, polished and professional. Visitors should feel looked after; the Reception & Administration Assistant should support the Business in delivering that through taking responsibility for Visitor Management.
The Reception & Administration Assistant should also fulfil Travel and Accommodation requirements for all staff and visitors in a timely manner, whilst ensuring Company money is well spent.

Key responsibilities of the Reception & Administration Assistant:
•Booking meeting rooms, lunches, taxis, accommodation etc
•Ensuring all visitors receive a friendly, professional reception and liaising internally to resolve any issues
•Ensuring visitors and contractors are fully aware of any Health & Safety Policies applicable to them
•Prompt and polite call answering
•Maintenance of internal telephone lists
•Travel Desk Support
•Travel (flights, hire cars, rail etc) and accommodation bookings
•Maintenance Log for the Building, logging issues and ensuring issues are resolved efficiently
•Book lunches, ordering flowers
•Ordering Stationary, postal supplies, visitor passes, Company letter head & business cards as necessary
•Liaison for 3rd party Companies providing services and issuing Work Permits where applicable e.g. Building repair work, Couriers, Book Club etc
•Ordering refreshment supplies (e.g. tea, coffee, sugar etc)
•Maintain the Short-term Visitor Log and ensure compliance with Company procedures
•Internal and external post for Head Office and Bristol Plant
•To provide backup administrative support to HO Admin; completing ‘overflow’ administrative work as necessary
•Any other duties as reasonably requested by your Manager and site colleagues.
Skills and experience required:
•Front-of-house experience (not necessarily Reception)
•Excellent telephony skills
•Previous administrative experience
•Computer literate (MS Office – Outlook, Word & Excel)
•Superb communication skills
•SAP experience would be advantageous
•Ability to prioritise workload
Hours: Part of a job share; each role is 25 hours per week across 5 days- this role is covering the 1.00 pm – 6.00pm shift. Requirement to work full-time (39 hours) for 6 weeks of the year to cover their job share whilst on holiday (paid accordingly).
