HR Administrator
Salary: £20,000 to £24,000pa (depending upon experience)
Hours: 35 hours pw – Cheadle

Summary

We are looking for a highly organised and motivated HR Administrator to join our busy team in Cheadle due to expansion of the team. Working as a key member of the HR team you will provide essential administrative support to the team on the full HR lifecycle and have experience of maintaining and updating a HR software system (Cezanne). This is a varied role supporting administration of recruitment process, including monitoring vacancies and arranging interviews as well as assisting with the induction and leaver processes. Experience of using an e-recruitment system would be advantageous as would knowledge of payroll and pensions to assist with collating of employee information for payroll and pension administration. You will have good keyboard skills and intermediary experience in Microsoft Office to enable you to produce HR data/reports via Cezanne. This is a busy role that requires strong communication skills, a high level of attention to deal and the ability to work as part of a team with a focus on continuous improvements.

The Organisation

UK Biobank is a major national health resource set up with the aim of improving the prevention, diagnosis and treatment of a wide range of serious and life-threatening illnesses. Between 2006 and 2010, UK Biobank recruited over 500,000 volunteers from across the country to take part; all donated biological samples for future analysis, provided detailed information about themselves, and agreed to have their health followed. Enhancement projects are now underway to add further value to this valuable research resource.

To succeed in this role, you will need to be able to carry out the following duties and display the following skills, traits and knowledge gained from working in a fast-paced HR environment.

MAIN RESPONSIBILITIES

Recruitment: Managing full recruitment cycle for both UKBB & UKBC, advertising roles internally and externally, manage and track all applications, arranging & assisting in interviews, making offers and drafting standard contracts and offer letters, requesting references and DBS checks escalating any issues where necessary, ensuring Cezanne HR is updated in line with the recruitment process.

Payroll/Pension/Benefits: Collating payroll, pension and benefit information for monthly payroll processing, work closely with the payroll administrator to ensure everything is prepared for payroll deadlines, ensure all new starter paperwork is collected and submitted on time, work with the payroll administrator to solve any payroll related queries or anomalies escalating where necessary.

HR Administration: Ensure employee files are up to date both paper files and electronic records including Cezanne HR software, provide first line support to managers, Assist the Head of HR with the annual performance reviews and any ad-hoc staff communications letters, process all absence related paperwork, raise PO’s for any departmental spend, update the org chart to reflect any changes in the organisation

General: Support the HR team in arranging meetings and associated paperwork, assist the team with any ad-hoc reporting, review transactional processes and make suggestions for improvements, Carry out any other duties to support HR as deemed appropriate by the Head of HR to assist with the smooth running of the department.

PERSON SPECIFICATION

ESSENTIAL CRITERIA

1. GCSE Maths and English or equivalent.
2. CIPD Level 3 qualification Certificate in Personnel Practice – or working towards
3. 2 years’ experience of working in an operational HR role within a busy environment.
4. Experience of using HR Management/other similar information systems.
5. Experience of administering an online recruitment software system.
6. Experience of working to best practice recruitment and HR processes.
7. Good keyboard skills and the ability to use Microsoft Word/Excel/PowerPoint/Outlook at an intermediate level.
8. Strong written and verbal communication skills to impart information in a clear and concise way.
9. Excellent customer-facing and interpersonal skills.
10. High level of confidentiality, tact and diplomacy when dealing with sensitive information.
11. High level of attention to detail and accuracy.
12. Ability to work in a busy environment, under pressure and prioritise own workload.
13. Ability to use initiative and take responsibility with a positive “can do” attitude.
14. Self-motivated, and flexible with a desire to learn.
15. Ability to form effective working relationships at all levels and enjoy working with people.
16. Excellent team player.
17. Ability to multi-task and excellent organisational and planning skills.
18. Experience of working in a diverse environment.

DESIRABLE CRITERIA

1. Previous experience of working in line with the requirements of ISO9001:2015 and ISO27001:2013.
2. Experience of administering an online recruitment software system.
3. Experience of compiling reports from HR software systems.
4. Experience of working with payroll/pension providers.
5. Experience of working in a charity/academic based organisation
